Privacy notice

Who we are

Voice Analytica is a service provided by Wealth Analytica Ltd, registered in England and Wales, which is the controller for the personal data described in this notice. Write to us at [email protected].

There are two different jobs this notice does, and it is worth knowing which one applies to you:

  • The website. When you visit this site, send us a form or start a trial, we decide what happens to your data. We are the controller, and this notice is the whole story.
  • The product. When you use Voice Analytica to market to your own contacts, you are the controller of their data and we hold it for you. That side is covered in the section "When you use Voice Analytica" below.

What the website collects

  • What you type. The demo and contact forms ask for your name, work email, company, website, your sector, whether you are a business or an agency, an optional phone number, and your message.
  • Where you came from. The campaign tags in the link you followed and the page you sent the form from.
  • Your visit, if you allow it. Which pages you look at, how long you spend and which links you follow. This is collected by our own website tracking (part of the product we are selling) and by Google Analytics, and both only run if you choose "Accept analytics".

Why we use it, and our lawful basis

  • To answer your enquiry and set up your trial (name, email, company, message). Our basis is legitimate interests: you asked us a question about our product, and we are answering it. We keep this for two years from our last contact.
  • To run and improve our own marketing. Which pages work, which campaigns bring people who actually start a trial. Our basis is consent for the tracking, and legitimate interests for looking at the totals.
  • To meet our legal duties such as tax and accounting records, which we keep for six years.

You can withdraw consent for analytics at any time from "Cookie settings" at the bottom of any page. Withdrawing it does not affect anything else.

Cookies and similar storage

We keep three things in your browser: your light or dark choice, your cookie choice, and the campaign tags from the link you followed so a form you send later is credited correctly. These are needed for the site to work as described, which is why they are not optional.

Analytics are optional and load only after you accept. There is no advertising cookie on this site, and nothing here follows you to other websites. The three things listed above, plus the analytics choice itself, are everything we keep in your browser.

Who we share it with

We do not sell personal data, and we do not share it for anyone else's marketing. We use these suppliers to run the site and the service, and each one only sees what its job needs:

  • Microsoft Azure: the servers everything runs on.
  • Cloudflare: the network our websites are delivered through, and the certificate that secures them. Every request to one of our sites passes through Cloudflare before it reaches us, because that is what protects the site from attack and keeps it fast.
  • Google Analytics: counting visits and which pages are useful, only if you choose "Accept analytics". It does not get your form details.
  • Mailgun: sending email, including the acknowledgement you get after a form.
  • Stripe: taking payment. Card details go to Stripe directly and never touch our servers.
  • An AI model: the text our product writes is produced by an open model that we run on Microsoft Azure. Your content is not used to train any model and is not retained after the request.

Where your data goes

Our systems are in the United Kingdom. The AI model that writes for the product is hosted on Microsoft Azure.

Some of our other suppliers are outside the UK. Where personal data leaves the UK we rely on an adequacy decision, or on the International Data Transfer Agreement with a transfer risk assessment.

When you use Voice Analytica

Inside the product, the personal data belongs to your business, not to us. You decide who is in it, why you contact them and what you say. We store it, send it, and show you what happened. In data protection terms you are the controller, and we are the processor, and we act only on your instructions.

That means:

  • We do not use your contacts to market to them ourselves, and we do not sell or share them.
  • We do not look at them except where we must to run, support or secure the service, or where the law requires it.
  • We will sign a data processing agreement with you, and give you the sub-processor list, on request.
  • When you close your account, we delete your data within 30 days, apart from backups which roll off on their own schedule, and anything we must keep by law.

If you are an agency with client workspaces, you are responsible for your clients' data under your own agreement with them.

How we keep it safe

Data is encrypted in transit and at rest. Access is limited to the people and systems that need it, and every action that changes something is logged. The credentials our customers give us for their own sending domains, social accounts and phone numbers are encrypted before they are stored, with a key held separately from the database.

If there is a breach that affects your rights, we will tell you and the Information Commissioner's Office within 72 hours of becoming aware of it.

Your rights

Under UK data protection law you can ask for a copy of your data, have it corrected or deleted, object to how we use it, ask us to restrict what we do with it, and ask for it in a portable form. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, though we would rather you came to us first.

To use any of these rights, email [email protected]. We will reply within one month. If your request is about data inside a Voice Analytica account, we may have to pass it to the business that owns that account, because they are the controller and we cannot act without their instruction.

Changes to this notice

If we change how we use personal data, we will update this page and, where the change is significant, tell account holders by email.
