Questions we are asked most
Straight answers about what Voice Analytica does, how approvals work, where your data lives and how to get started. Cannot see your question? Ask us.
What it does
What is Voice Analytica?
Voice Analytica is your marketing and sales team in one app. You tell it what you want to achieve, and it plans the campaign, writes every piece in your brand and your people's voices, makes the pictures and video, gets each piece approved, sends it, helps you call the people who respond, and shows you what turned into meetings and revenue.
What does it do that a normal marketing tool does not?
It starts from a goal, not a blank page. It plans the whole campaign across your channels, writes it so it sounds like your brand and like each of your people, and ties every post, email and call back to the goal, so you can see what created each meeting.
Will it sound like generic AI?
It is built not to. Everything it writes follows your Brand DNA, which is read from your own website, and each person can have their own voice. You can change any piece by typing one sentence, such as "make it shorter and mention Black Friday".
Does it replace my marketing team or agency?
It does the planning, writing, making and sending work, and you stay in control: you see every piece and approve it. Many customers will use it to do more with the people they have. Agencies can run it for their own clients too.
Who it is for
Who is Voice Analytica for?
Two kinds of customer: businesses that want to run their own marketing and sales, and agencies that run marketing and sales for several clients. Businesses start from a pipeline built for their sector, and agencies get a separate workspace for every client.
Which sectors does it suit?
It comes with ready-made pipelines for a range of sectors, and you can build your own if yours is not listed. See the sectors page for the full list.
Do I need a marketing team to use it?
No. A getting started guide takes you through the first steps, and the app writes the first drafts. You decide what goes out.
Campaigns, content, voices and Brand DNA
How does a campaign work?
You type a goal in plain English, for example "Get 20 independent stores in the North West to book a demo before Black Friday". Voice Analytica makes a plan, then writes the pieces for each channel. You can change the plan or any piece in plain English, approve what you are happy with, and then send it.
Can I change what it writes?
Yes. Open any piece and edit it yourself, or use "Change with AI" and say what you want in a sentence. Nothing is locked.
What is Brand DNA?
Brand DNA is the stored picture of your brand: logo, colours, fonts, the words you use, your headline, your audience and your image style. It is built from your own website when you sign up, and you can edit every part of it. Everything Voice Analytica writes and makes follows it.
What are voices?
A voice describes how one person writes. Each person answers ten quick multiple-choice questions (formality, humour, sentence length and so on), and can add a writing sample. Posts for that person are then drafted to sound like them. Each person also chooses their topics and how often they want to post.
How far ahead does it write?
For people with a voice, drafts are written up to 30 days ahead, and topped up every day. Nothing is posted until the author approves it.
Approvals
Does anything go out without approval?
Posts and campaign content wait for an approval before they go out. Picture and video ideas are approved before anything is made. The one setting that can send without a person approving each item (sending follow-ups automatically to warm leads) is switched off by default, only an admin can turn it on, and the change is recorded.
How does approval work for a busy director?
Approvers get one short email with a link to a secure approval page. They can read what will go out, approve it or send it back with a comment, from a phone, in a couple of minutes.
Can I see exactly what will go out before I approve?
Yes. "See what will go out" shows the real post or email as it will appear, and you can go straight to the campaign it belongs to.
What happens if I edit something after approving it?
An approved post that is edited goes back for approval, so what is approved is always what is sent.
Is there a record of who approved what?
Yes. Approvals, sends and key changes are recorded in an audit trail.
Channels
Which channels can it use?
Social posts on LinkedIn, Facebook, Instagram and X (and other networks, see the features page), email, a blog, website pages, and calls. Campaigns can use several of these at once.
How do I connect my social accounts?
In Settings you press Connect on a network and sign in through a pop-up window. You then choose where to post, such as a Facebook page or a LinkedIn company page. If a connection stops working, posts for it are held, not lost, and go out once you reconnect.
How does email sending work?
You connect a sending address on a subdomain of your own website, such as mail.yourcompany.com, and add the records the app gives you. This keeps your marketing email separate from your everyday email. New sending addresses start slowly and build up on a fixed schedule so your emails reach inboxes. Every marketing email needs your postal address and carries an unsubscribe link.
Can I have a blog?
Yes. Each workspace can publish a public blog that needs no sign-in, with your branding, a feed, and a code snippet to show it inside your own website. You can schedule posts and take them down at any time.
Can it make pages for my website?
Campaigns can include website page content, which you can preview with its pictures before you approve it.
Pictures and video
Does it make pictures and video?
Yes. It writes a picture or video idea from the same brief as the rest of the campaign, in your brand style. You approve the idea first, then it makes the picture or the short video. Nothing is made or charged for without your yes.
Can I use my own photos?
Yes, campaigns can use your own photos alongside the pictures it makes.
Is there a limit on pictures and video?
Making pictures and video uses credits. Ask us how that works for the volume you have in mind.
Results and attribution
What results can I see?
Not just likes. For each campaign you see how many people were reached, how many engaged, how many became warm leads, how many meetings were booked and what revenue followed, by channel and by piece. Click any number to see the people or pieces behind it.
What is attribution?
It shows which touches earned a sale. The attribution report shows shared credit, first touch and last touch from won deals, with a timeline for each deal and a CSV export. See the attribution page for more.
How does it know a lead is warm?
It combines email opens, clicks and replies, website visits linked to a contact, forms, assessments, calls and meetings, and gives each lead a heat from 1 to 5 with a plain sentence saying why. Automatic scanner clicks, unsubscribe clicks and out-of-office replies are not counted.
Can I give my clients a report?
Yes. A monthly branded client report is part of Reports, and agencies can see one line per client across all their clients.
Calling and recording
How does calling work?
Your people call from their browser. When someone responds to a campaign, a call task lands with the right person, with a script. After the call they record the outcome, add a note and set a call-back if needed, and the call is logged against the person.
Is it legal to cold call?
Before a call starts, the number is checked against your do-not-call list and the Telephone Preference Service. Calls are limited to UK landlines and UK mobile numbers.
Are calls recorded?
A recording is kept only after the caller confirms the recording notice and the call connects. Where call summaries are switched on, they appear in the call log.
Do I need a phone number?
You need a calling line before anyone can start a call. Our team sets it up for your workspace.
Agencies and client portals
Can an agency run its clients in Voice Analytica?
Yes. Each client has its own workspace with its own pipeline, contacts, sending address, social accounts, phone numbers and brand. You switch between clients, or see all of them at once.
Can clients approve work themselves?
Yes. Clients can approve campaigns and posts before they go out, and view their own reports.
Do clients see each other?
No. Your staff see all their clients. A client's own people only see their own workspace.
Can I put my own branding on it?
Partners can have a branded sign-in page with their own logo and colours. See the agencies page for what is available.
Onboarding and support
How do I get started?
Sign up, and a getting started guide opens. It has seven steps: your brand, your team, your email sending address, your social accounts, calling, your contacts, and your first campaign or post. Each step ticks itself when it is really done, and the guide stays one click away until you finish.
Can I bring my contacts?
Yes. Import a CSV (a template is provided, and columns are matched for you), and the app shows any rows that need a look before it imports them.
Will there be example data in my trial?
Yes. A new trial is filled with example data for your sector so no page is empty. You can hide it with one click, show it again, or remove it for good. Example data is never sent, called, published or billed.
How do I get help?
Inside the app, "Send feedback" is on every page: describe the problem and mark up a screenshot, and our team replies there. You can also email [email protected].
Trial
Is there a free trial?
Yes. Every account starts with a 7-day free trial.
Do I need a card to start?
No. The trial needs no card.
Can I see it before I start?
Yes. Book a demo and we will walk you through it with a sector example.
Contracts and cancelling
What happens at the end of the trial?
Because no card is taken, nothing is charged. If you do not carry on, the trial simply ends.
What are the terms, and how do I cancel?
Get in touch and we will go through the plan and the terms with you before any payment starts.
How much does it cost?
Book a demo and we will go through it with you.
Security and data
Is my data kept separate from other clients?
Each client's data is kept separate from every other client's, and the database itself enforces it: a signed-in person can only ever read or change data that belongs to their own workspace, even if something in the application went wrong. Your people only see their own workspace, and an agency's clients never see each other.
Where is it hosted?
Voice Analytica is hosted in Europe on Microsoft Azure.
Do the AI providers train on my data?
No. The AI providers we use do not train their models on your data.
Can I use my own AI account?
Yes. An admin can connect your own Azure AI account by adding its key in Settings. The key is stored encrypted and never shown again. While it is on, your content goes to the provider you chose, and the settings page says so in plain words.
How do people sign in?
With a password plus a six-digit code sent by email. People can also add a passkey (fingerprint, face or device lock) as an extra way in. Adding or removing one needs a fresh confirmation.
Who in my team can see what?
People have roles, and the menus, pages and actions they see follow their role. Only admins can change settings such as automatic sending.
Do you ever send my contacts anything without me knowing?
No. Marketing email carries an unsubscribe link and honours it, unsubscribe clicks are never counted as interest, and nothing goes to a real person from demo or example data.
Still have a question?
Book a demo and we will answer it live, or start a free trial and look for yourself. No card needed.
